The Show Secretary© program has been in use since 1985 in various forms and can be used for pigeons and poultry shows and will support a 99,999 bird show.  It was used for the 1992, 94, 96,2002 and a more recent  Grand National Pigeon Shows.  It has several main features, the Mail Menu will maintain a list of up to 3500 names and addresses by up to 20 different specialty clubs.  This feature will print mailing labels or a hard copy by either a selection of specialty clubs or the entire list.  The Mail Menu also keeps track of the last year that an exhibitor has shown allowing for easy maintenance of the list.  This year can be automatically updated from the exhibitor list that is generated with each show.  There are also other features included in the program, which make maintenance of the mail files easy.

The Show Menu is used to assemble all the information necessary for a show.  After the exhibitor's names and addresses are entered, breed names and the individual birds are entered in the appropriate screens.  After all information is entered, the program can check to be sure that you have typed all entries into the computer.  After all information is correct, the breed names are rearranged to suit your needs and then coop numbers can be automatically assigned.  There is an option that will sort a breed by exhibitor number first, assign coop numbers and then sort by color, then age and sex.  This will have the effect of keeping all of one exhibitor's birds in consecutive coops.  (Jacobin and Fantail breeders like this.)  The remaining breeds will be sorted by color, age and sex then by exhibitor number and then coop numbers are assigned.  This is the more traditional way of cooping the birds.

After all sorting and assigning coop numbers are finished, the paperwork for the show can be printed to a printer or a text file.  This will include:
  • A list of all breeds with the number of birds in each breed plus the total.
  • An exhibitor list with a title.  Telephone numbers and juniors are optional.
  • All the judging sheets with the birds grouped by color, age and sex.  This includes a cover sheet for each breed which can list all the exhibitors showing in that breed.  As an option, the exhibitor's names can also be printed with each entry.
  • Coop tag labels listing breed, exhibitor number, coop number, color, band number, age and sex and your club name for all birds or Junior entries only.
  • An entry sheet for each exhibitor showing each breed, each bird and coop number.
  • A finance sheet with an alphabetical listing of each exhibitor showing exhibitor number, number of entries, number of sale cages, catalogs, banquet tickets, dues paid, total paid, total due, and the difference plus totals for the entire show.  Up to four different costs can be used for birds, three for meal tickets, one for sale cages, one for catalogs and a cost for Family, Senior or Junior membership dues.
  • A judging sheet for junior birds only. (Identified while entering the birds)
  • An Exhibitor List for juniors only.
  • Labels for health forms showing the exhibitors name, address and number of entries.
  • A telephone list for exhibitors that have telephone numbers.

  • Labels for Sale Cages
The Show Secretary© program also includes a comprehensive Show Report Menu that includes calculating the premium pay out for each exhibitor as done at a Fair plus other features to make the show secretary's job easier.   This will also include assigning a Win Title to selected birds. The Show Reports can be printed directly or printed to a text file for editing or printing with a word processor.  This will include:
  • Show Report for selected breeds.
  • A premium award showing how much each exhibitor has won.
  • A sheet for each exhibitor showing how their birds placed.
  • Mailing Labels for all exhibitors..

When printing to labels for Coop Tags, Health forms or mailing labels, you can use 15/16" x 3 1/2" single wide fan fold labels for a Dot Matrix printer or 1" x 2 5/8" three wide, 1" x 4" double wide and 2" x 4" double wide for Ink Jet or Laser printers.

The program can be set for Poultry as well as Pigeons and has separate folders and files for both including the Mail file.  When using the Poultry option, you can prefix the breed name with the Class name in the Breed List Add and Change option.

Here is a sample screen.  This is the screen that would be used to add Entries.
The list boxes on the left will hold previously entered data that is available with a Double Click.  The radio buttons on the right will describe the age and sex of an entry with a Single Click.  These are changed for poultry to include chickens, geese and ducks.  The text boxes in the middle are used to enter other data and the check box is used to set a Junior Entry on or off.  Context sensitive help is available for each screen.

The program will run in Windows 9X, ME, NT, 2000 , Win XP and Vista.  It requires about 5 megabytes of disk storage space and 15 megs of memory.  For Windows Vista and higher operating systems, it must be installed in the root directory, not the Program Files directory.
